Google reviews for dentists, clinics and doctors carry more weight than in almost any other sector. Patients choose a practice for years, they research carefully, and a single review alleging pain, negligence or rudeness can cost dozens of new patients. At the same time, healthcare providers are the one group that cannot defend themselves in public: confidentiality rules prevent you from saying “that patient missed three appointments”. This guide explains how to remove negative patient reviews that violate Google policy, how to reply to the rest without breaching confidentiality, and how to build a practice rating that reflects the care you actually provide.
Why healthcare reviews are different
- You cannot argue the facts. Under GDPR, HIPAA and professional confidentiality rules, you cannot confirm that a reviewer was a patient, let alone discuss their treatment. Reviewers can say anything; you can say almost nothing.
- Claims are medical. “The filling fell out after a week” or “they missed the diagnosis” sounds like negligence to a reader, even when it is clinically normal or untrue.
- Staff are named. Reviews often name the hygienist, the receptionist or the doctor, which raises the stakes for the team and sometimes crosses into harassment or personal information violations.
- Competition is local and intense. Dental and aesthetic clinics in particular see a high share of reviews from competing practices and from patients of competing practices.
These differences make the removal route more important for clinics than for any other business, because the reply route is so limited. A clinic that cannot explain itself publicly has to rely on getting the illegitimate reviews taken down and on steadily collecting genuine ones, and both have to be done in a way that respects patient privacy at every step.
The patient reviews Google will remove
| Review type | Policy category | What to attach at appeal |
|---|---|---|
| Reviewer was never a patient | Fake engagement / misleading content | Anonymised screenshot of patient system search showing no match |
| Written by a competing clinic or its staff | Conflict of interest | Screenshot linking reviewer to the competitor |
| Doctor or staff name combined with insults or threats | Harassment / personal information | The review text itself |
| Recommends a different clinic by name | Advertising / conflict of interest | The review text itself |
| Review about a different practice with a similar name | Off-topic | Point out the mismatching details |
| Unfounded medical outcome claims with no patient record | Misleading content | Anonymised no-match evidence |
| Photos of other patients or staff without consent | Personal information | The photo itself |
The evidence problem, solved
Clinics worry that proving “this person was never our patient” means sharing patient data with Google. It does not. The evidence is a screenshot of a search in your practice management system for the reviewer’s name and the claimed period, returning no results. No patient data is visible. If the reviewer used a nickname, state that no patient with a matching name or initials attended in that period. Nordlicht Dental used exactly this approach for a review claiming an implant had failed within a month: no patient with that name, no implant placed in that month on a new patient, review removed in eight days.
Step by step: removing a review as a clinic
- Scan the profile. List every 1–3 star review with text or photos. A free scan on yorumkaldir.com does this and flags likely policy categories.
- Check each review against your records, internally and without sharing anything. Note which reviews have no matching patient.
- Reply with the confidentiality-safe template (below) within 24 hours.
- Report through Google Business Profile: Manage reviews, then Report a new review for removal, choosing the category from the table.
- Appeal once with anonymised evidence if the first decision is negative. Decisions take 3–21 days; most clinic cases are closed within 5–12 days.
- Verify removal in a logged-out browser and in the live report link.
No prepayment for clinics: the fee is charged per review actually removed by Google, after the work. Bank transfer gives a 5% discount; card payment is also available.
Replying without breaching confidentiality
The reply has one purpose: to show future patients that you are attentive and professional. It must not confirm the patient relationship or discuss care.
The safe template
“Thank you for your feedback. We cannot discuss individual care or confirm details publicly, but we take every comment seriously and review it with our team. If you would like to talk to us, our patient relations team is available at [phone] or [email].”
Variants for common situations
Waiting time: “We understand how frustrating waiting can be, especially when you are in discomfort. We have reviewed our scheduling for emergency slots. Please contact us directly at [phone] so we can discuss your experience.”
Billing dispute: “We aim to explain all costs before treatment begins. We would like to go through your concern with you privately; please call [phone] and ask for the practice manager.”
Suspected non-patient: “We take your comment seriously, but we have not been able to match it to anyone who has visited our practice. If you share further details with us privately at [email], we will look into it immediately.”
Staff named with insults: “We do not tolerate abuse of our team and have reported this review. If you have a genuine concern, please contact our practice manager at [phone].” Keep it short; the removal request does the real work.
Never write
- “You were seen on 12 May and refused the X-ray.”
- “Your insurance did not cover it.”
- “We will report you to the medical board for defamation.”
- Any detail that could identify the patient or the treatment.
Handling medical claims that are simply wrong
A review stating that “the crown cracked because they used cheap material” may be false and may harm you, but if the person is a real patient, Google treats it as opinion. Two routes remain. First, a measured reply inviting the patient to a free check. Second, in Austria and Germany, the legal route: a formal demand to Google under personality rights law, which obliges Google to ask the reviewer to substantiate the claim. We describe this in our article on removing Google reviews in Austria and Germany.
Building a practice rating that reflects reality
Clinics are chronically under-reviewed by satisfied patients and over-reviewed by the unhappy few. Fix the imbalance ethically:
- A review request card handed over at checkout, with a QR code, for every patient (never only the happy ones; that is review gating).
- An automated message 24 hours after a completed treatment, without mentioning the treatment.
- A reply to every review, including 5-star ones, with the same confidentiality rules.
- No incentives, no staff reviews, no reviews from the practice account.
Nordlicht Dental combined the removal of six policy-violating reviews with a checkout card and went from 4.1 to 4.6 in ten weeks. The new-patient form showed Google as the source of nearly half of all new patients afterwards.
Monitoring for clinics with several locations
Group practices and dental chains rarely notice a new 1-star review at a branch until a patient mentions it. The Business Watch module lets a practice manager check every location on demand and flags new 1–3 star reviews as opportunities, so that fake reviews are reported while they are fresh and covered by the 25-day guarantee. The panel and the live report link are available in English, German and Turkish, which matters for clinics in Austria and Germany with international teams.
Frequently Asked Questions
Can a dentist or doctor remove a negative Google review?
Only if it violates Google policy: written by someone who was never a patient, by a competitor, containing staff names with insults, personal data, or advertising for another clinic. Honest patient opinions are not removable.
How do I reply to a patient review without breaching confidentiality?
Never confirm that the person was a patient or mention any treatment detail. Use a neutral reply such as “We cannot discuss individual care publicly, but we take your feedback seriously; please contact our patient relations team at [phone].”
What if the review makes false medical claims?
Unfounded claims about outcomes from a reviewer with no record in your patient system fall under misleading content. Report them through Google Business Profile with anonymised evidence showing no matching patient.
How long does removal take for clinics?
Most healthcare cases are decided within 5–12 days; appeals can take up to 21 days. There is no prepayment and you pay per review only after it has been removed.
